SCOPE
This policy applies to every quotation, reservation and purchase made through greenlandbackcountry.com or any authorised sales channel operated by Greenland Backcountry (“we”, “us”, “our”). By confirming a booking, you (“the Guest”) acknowledge that you have read, understood and agree to these terms.
HOW TO BOOK
Submit the online booking form or email your request to info@greenlandbackcountry.com.
• Once all requirements have been gathered, we will issue a quotation.
• To confirm the trip, an advance payment of 25 % of the total trip cost is required.
• We accept bank transfers and Revolut transfers.
• After confirmation, we will send detailed pre-departure information to help you prepare.
PRICING, CURRENCY AND SURCHARGES
• All prices are published in Danish Kroner (DKK) unless otherwise stated and reflect the best available rate at the time of quotation.
• Prices are subject to change without prior notice owing to factors beyond our control (fuel surcharges, exchange-rate movements, new government taxes/fees, sudden increases in operational costs).
• Once we have received the 25 % advance payment, the per-person price is locked and will only change if new or increased government taxes/fees are imposed after the booking date.
PAYMENT SCHEDULE
• Deposit: 25 % of total trip cost, payable within seven (7) days of written confirmation.
• Balance: 75 %, due sixty (60) days before trip start.
• Late bookings (made 60 days or fewer before departure): 100 % due at confirmation.
Guests are responsible for all bank or card fees. Failure to pay on time may result in automatic cancellation and forfeiture under the refund policy below.
CANCELLATION BY THE GUEST – REFUND POLICY
If you must cancel, please notify us in writing at info@greenlandbackcountry.com. The following service fees (expressed as a percentage of the total trip cost) apply:
• Cancellation 30 days or more before trip start: 10 % service fee (90 % refunded).
• Cancellation 29–14 days before trip start: 25 % service fee (75 % refunded).
• Cancellation 13–7 days before trip start: 50 % service fee (50 % refunded).
• Cancellation fewer than 7 days before trip start or no-show: no refund.
We strongly advise building buffer days into your schedule to accommodate possible weather delays and purchasing comprehensive travel insurance covering cancellation for any reason, medical evacuation and baggage loss.
ALTERATIONS OR CANCELLATION BY GREENLAND BACKCOUNTRY
We may modify itineraries, accommodation or transport when safety, weather or logistics require it. If we cancel a departure for operational or safety reasons, a full refund of all monies paid will be offered. For events beyond our control (force majeure) we will make reasonable efforts to arrange an alternate itinerary; if this is not possible, a full refund will be provided. Our liability will not exceed the amount paid to us.
FORCE MAJEURE
Events such as war, pandemic, natural disasters, severe ice conditions, strikes or government orders beyond our control release us from performance or liability.
HEALTH, FITNESS AND SAFETY
Guests must disclose any relevant medical conditions during booking. Participation may be refused if a condition poses a safety risk. Our guides have full authority to alter or cancel activities if conditions are unsafe.
TRAVEL INSURANCE (RECOMMENDED)
Proof of insurance with at least EUR 250 000 emergency medical cover, medical evacuation/repatriation and trip-cancellation protection is recommended.
LIABILITY WAIVER
Arctic travel involves inherent risks. By joining a tour you accept those risks and agree to sign our standard Liability Waiver on arrival. Greenland Backcountry, its owners, employees and contractors are not liable for injury, loss or damage except where caused by proven gross negligence.
PRIVACY
Personal data is collected solely to process your booking, deliver contracted services and comply with Danish/EU regulations (GDPR). We never sell or rent your data.
GOVERNING LAW AND JURISDICTION
This policy and any dispute arising from it are governed by Danish law. All parties submit to the exclusive jurisdiction of the courts of Greenland, Kingdom of Denmark.
